How much does an AI phone assistant cost – and what determines the price?

An AI phone assistant answers calls when nobody can pick up – in the workshop, in the practice or at the weekend. This guide shows how the costs are made up of setup and ongoing usage and what to watch for in data protection and conversation quality.

Short & clear

What an AI phone assistant costs depends on call volume, the scope of tasks (answering calls, booking appointments, giving information), the connection to calendar, CRM or phone system, the quality of the knowledge base and data protection requirements. In addition there are ongoing, usage-based costs for telephony and speech processing, which differ by provider. At Nano Concepts, AI solutions start in the Starter package from €2,500, assistants with calendar and CRM integration in the Professional package from €8,000, and complex solutions are quoted individually as Enterprise projects. The exact quote follows the free initial consultation.

AI phone assistant: what it does and what that means for the cost

An AI phone assistant, often also called a voicebot or AI phone agent, answers calls, understands the request in spoken language, answers common questions, books appointments, notes callback requests and, if desired, transfers to an employee. After the call, a summary is available, for example by email or in the CRM. Typical uses are trades businesses with callback requests, practices with appointment scheduling or venues with reservations.

The costs fall into two blocks: the one-off setup with concept, conversation design and integrations, and the ongoing, usually usage-based operation. Anyone who looks only at a provider’s monthly fee overlooks the effort for good conversation design. It is precisely this that decides whether callers are understood and the assistant relieves the team instead of frustrating callers.

One-off costs: concept, conversation design and integrations

At the start is the question of which requests the assistant should handle and which not. From this comes the conversation design: greeting, follow-up questions, handling of unclear points, handover to people and goodbye. Added to this is the knowledge base with opening hours, services, prices and processes, as far as the assistant may state them. The more special cases there are, the more laborious this part becomes.

Another block is the integrations. If the assistant is to see and book free slots in your calendar, create contacts in the CRM or take over calls from your phone system, these connections must be built, secured and tested. Finally, tests with realistic calls are part of it, because only in conversation does it become clear where wording, pronunciation or background noise cause problems.

  • Concept: tasks, limits and handover to employees
  • Conversation design and tone of voice matching your brand
  • Knowledge base with opening hours, services and frequent questions
  • Integration with calendar, CRM or phone system
  • Tests with real call scenarios and fine-tuning

Ongoing costs: telephony, speech processing and support

In operation, usage-based costs arise for the phone connection, speech recognition and speech output as well as the language model. They grow with the number and length of calls. The actual amounts differ depending on the services used and change constantly, so we state no fixed prices here. What matters for your planning is a realistic estimate of call volume, for example per week.

Then there is support. The knowledge base and conversation design have to be maintained when opening hours, services or prices change. Regular evaluation of calls is also sensible: where was the caller not understood, where was a call transferred needlessly? The assistant can be improved step by step from this. Factor this effort in from the start.

Data protection and transparency: what you need to observe

Phone calls involve personal data, often name, phone number and request. You need a legal basis, a privacy notice for callers, a data processing agreement with the service providers used and clear rules on retention periods. Recording or taping calls is permitted in Germany only with the consent of those involved or on another sound legal basis and should only be done if it is really necessary.

It is also advisable to tell callers right at the start that they are speaking with an AI assistant. This builds trust, and transparency toward people who interact with an AI is also provided for in principle in the EU AI Act. This guide does not replace legal advice; have the specific design reviewed by your data protection adviser if needed.

When an AI phone assistant pays off – and where its limits lie

The benefit shows where calls go unanswered or employees are constantly pulled away from work: missed inquiries, recurring standard questions, appointment scheduling. Instead of leaving a message on voicemail, callers get an immediate answer or an appointment. Whether this pays off depends on how many calls are actually lost and how much time your team spends on routine phone work.

Limits exist with sensitive, emotional or very complex matters. There the assistant should recognize when a person has to take over and hand over cleanly – with a summary so the caller does not have to repeat anything. Speech quality on the phone is also not flawless: dialects, background noise and poor connections can make understanding harder. A pilot operation with clear rules makes such weaknesses visible early.

How your quote for the AI phone assistant comes about

A few details are enough at the beginning for a reliable quote: rough call volume, the most frequent requests, opening hours, existing systems such as calendar, CRM or phone system, and your ideas about handover to employees. In the free initial consultation we narrow down the scope and clarify data protection questions early. Special features such as public holidays, several locations or foreign languages should also be mentioned in advance, because they affect the concept effort.

For orientation: the Starter package from €2,500 suits an assistant with clearly limited tasks, the Professional package from €8,000 suits solutions with calendar, CRM or phone system integration, and Enterprise suits extensive projects with several locations or languages. For a clearly defined scope we preferably offer a fixed price. We show the ongoing usage costs transparently alongside in the planning.

What matters

These factors determine the cost

Call volume

The number and length of calls determine the ongoing, usage-based costs for telephony and speech processing.

Scope of tasks

Simply answering calls is easier than booking appointments, giving information and pre-qualifying inquiries.

Integrations

Connections to calendar, CRM or phone system have to be built, secured and tested.

Knowledge base and maintenance

The more content the assistant is supposed to know, the more setup and maintenance effort arises.

Languages and voice

Additional languages, a suitable voice and a brand-typical tone increase concept and testing effort.

Handover to employees

Forwarding, callback rules and summaries for your team have to be defined cleanly.

Data protection and recording

Legal bases, contracts with service providers, retention periods and notice texts belong in the planning.

Support and evaluation

Ongoing maintenance and call evaluations keep quality high in the long run.

Checklist

Your take-away checklist

  • Collect the most frequent reasons for calls and rank them by frequency
  • Define what the assistant may handle and what not
  • Roughly estimate the call volume, for example per week
  • Clarify which systems should be connected
  • Set rules for handover to employees
  • Plan the notice about the AI assistant and the privacy information
  • Decide deliberately about recording and retention period
  • Agree on a pilot phase with evaluation of the calls

FAQ

Frequently asked questions

The ongoing costs depend on call volume and the services used and can only be estimated seriously for your case. Besides usage, you should plan for maintaining the knowledge base. We present the ongoing costs transparently in the planning.

At Nano Concepts, AI solutions start in the Starter package from €2,500. An assistant with calendar and CRM integration is more likely in the Professional package from €8,000. You receive the exact quote after the free initial consultation.

That depends on call volume and complexity. With many similar requests an assistant can be economical; for sensitive or highly individual calls, people remain important. A combination often makes sense: the assistant handles routine and hands over anything special.

We expressly recommend it, and transparency is also provided for in principle in the EU AI Act. In addition, you need a privacy notice for callers. This guide does not replace legal advice; if in doubt, your data protection adviser will clarify it.

Yes. Handover can be set up according to your rules, for example on certain keywords, at the caller’s request or, outside opening hours, as a callback note. A short summary makes it easier for your team to enter the conversation.

Speech recognition is strong but not flawless. Dialects, background noise and poor connections can make understanding harder. That is why we test with realistic calls and provide for a follow-up question or handover to a person in case of uncertainty.
