How much does an ERP system cost?
An ERP system bundles purchasing, warehouse, sales, production and accounting in one piece of software – making it one of the most consequential IT decisions a company can take. Here you will learn which costs arise in selection, implementation and operation and how to plan them realistically.

What an ERP system costs depends on the license model (purchase or subscription per user), the number of users and modules, the need for customization, data migration, interfaces to shop, accounting or production, and training and operation. In mid-sized companies (Mittelstand), implementation and customization often account for a considerable share of the total cost – not just the license. Even free open-source ERP systems incur costs for setup, hosting and support. At Nano Concepts, our packages serve as a guide: interfaces and smaller extensions from the Starter package (from €2,500), custom ERP modules from Professional (from €8,000), complete ERP solutions as individually quoted Enterprise projects.
What does an ERP system cost? More than the license
If you search for “how much does an ERP system cost,” you mostly find license prices. But these are only part of the bill. On top come consulting and analysis, setup and customization, transferring data from legacy systems, interfaces, training, and operation and maintenance over many years. Only the sum of these items – the total cost of ownership – shows what an ERP really costs.
Internal effort is often underestimated: employees from accounting, warehouse and sales have to describe processes, clean up data, test and get up to speed. That time is missing from day-to-day business and belongs in every honest calculation of an ERP implementation, even though it appears on no provider's invoice. Plan fixed time slots for it and name an internal person who is responsible and can make decisions.
ERP cost per user: understanding license models
Many providers charge ERP costs per user. There are differences: named users each have personal access, while with concurrent users several people share a certain number of parallel logins. Some providers also tier by role – for example full users for accounting and restricted access for warehouse or field sales. Clarify early how many people really need which functions.
With cloud ERP, you generally pay a monthly fee per user that includes hosting and updates. With on-premises licenses, you buy the software once and usually pay annual maintenance fees in addition; servers and operations are your responsibility. Pay attention to which modules are included in the price and how costs develop as your company grows.
- Named users: personal access per person
- Concurrent users: limited number of parallel logins
- Role-based licenses: full and restricted access
- Cloud subscription: monthly per user, hosting included
- On-premises: purchase license plus maintenance fee
ERP implementation costs in mid-sized companies
The costs of ERP implementation in mid-sized companies (Mittelstand) depend strongly on how well the system's standard processes fit your workflows. The more has to be customized, the more expensive the project becomes – and the more laborious later updates are. A proven principle is therefore: adapt processes to the standard where they are not a competitive advantage, and solve only what is special individually.
Implementation typically runs in phases: requirements analysis, system selection, concept, setup, data migration, testing, training and go-live. A step-by-step start with the most important modules reduces risk. Also plan a phase after go-live in which questions are answered and settings are fine-tuned. It has also proven worthwhile to train key users who later pass their knowledge on to colleagues.
Low-cost and free ERP systems: what is behind them
Free ERP software exists, mostly as open source or as a restricted basic version from commercial providers. Well-known open-source systems include Odoo in the Community Edition, ERPNext or Dolibarr. The license costs nothing – but you have to do setup, customization, hosting, updates, security and support yourself or buy them as a service. For companies without their own IT, this effort should not be underestimated.
A free ERP system can be a good choice for smaller companies with manageable processes, as can low-cost cloud solutions with a fixed range of functions. Check whether important requirements such as German accounting requirements, DATEV export (DATEV is the accounting platform widely used by German tax firms) or e-invoicing are covered. If something is missing there, the costs arise elsewhere. The availability of service providers who support the system in Germany should also factor into the decision.
Standard ERP, extension or custom ERP development?
Not every company needs a large standard ERP. Sometimes an existing system with targeted extensions and interfaces is enough, for example to the online store, to production or to DATEV. In other cases – with very specific workflows that standard systems can only map with heavy customization effort – a custom solution may be the more economical choice. What matters is comparing total costs over the planned period of use.
Custom ERP development does not mean reinventing everything. Often proven building blocks are combined and only the processes that make up your business are implemented individually. One example from our practice is a B2B wholesale portal with ERP integration for more than 5,000 items. Which variant fits should be clarified by a neutral software selection. We advise without a predetermined outcome – even if a standard system turns out to be the better choice in the end.
How Nano Concepts supports ERP projects
We accompany ERP projects from software selection through interfaces and extensions to custom ERP development. It starts with the question of which processes the system should map and where time is lost today – for example through duplicate data entry or Excel lists. From that it becomes clear whether a standard system, an extension or a custom solution makes sense.
For orientation: interfaces and smaller extensions can fall within the Starter package from €2,500, custom ERP modules within the Professional package from €8,000, and we calculate complete ERP solutions individually as Enterprise projects. Third-party license costs are not included. You will receive the exact quote after the free initial consultation. On request, we also support the selection of a standard system and calculate a separate consulting scope for it.
These factors determine the cost
License model
A purchase license with a maintenance fee or a cloud subscription per user spread the costs differently over the years.
Number of users and roles
More users, and full rather than restricted access, increase ongoing license costs.
Modules and range of functions
Financial accounting, warehouse, production, sales or service are often licensed individually.
Need for customization
The more processes deviate from the standard, the higher the implementation and update costs.
Data migration
Cleaning up and transferring products, customers and open items from legacy systems takes time.
Interfaces
Connections to shop, DATEV, e-invoicing, EDI or machines increase the project scope.
Training and internal time
Employees need time for process definition, testing and getting up to speed.
Operation and maintenance
Hosting, updates, support and further development arise over the entire period of use.
Your take-away checklist
- Document today's processes and their weaknesses
- Separate must-have and nice-to-have requirements
- Define the number and roles of users
- Compare total costs over several years rather than license prices alone
- List the required interfaces to shop, accounting and partners
- Check and clean up data quality in the legacy system
- Plan employees' internal project time
- Consider a step-by-step start with the most important modules

That depends on license model, number of users, modules, customization and interfaces; reliable figures only exist after a requirements analysis. Alongside the license, always include implementation, data migration, training and operation. For extensions, interfaces and custom solutions, our projects are based on the packages from €2,500 and from €8,000, respectively.
Many providers bill per user but distinguish between named and concurrent users or between full and restricted roles. With cloud ERP the fee is usually monthly and includes hosting. Compare which modules are included in the per-user price.
Yes, for example open-source systems such as Odoo Community, ERPNext or Dolibarr, as well as restricted basic versions from commercial providers. The license is free, but setup, hosting, customization and support cause costs. Also check whether German requirements such as DATEV export and e-invoicing are covered.
Because analysis, setup, customization, data migration, interfaces, testing and training mean a lot of work. On top of that comes the internal time of your employees. The more your processes deviate from the standard, the larger this share becomes.
A custom ERP can be worthwhile if your workflows are very specific and standard systems only fit with heavy customization. A combination often makes sense: standard for accounting and basic functions, custom modules for the core business. A neutral software selection helps with the decision.
The duration depends on modules, need for customization, data quality and the availability of your employees. A step-by-step start with the most important modules shortens the time to first benefit. We prepare a realistic schedule after the requirements analysis.
