Short & clear

Software selection is the structured process by which a company determines the right software from several solutions: defining requirements, weighting criteria, researching vendors, comparing them with a weighted scoring analysis and verifying them in hands-on tests. Nano Concepts guides this process in a vendor-neutral way, from gathering requirements through shortlist and demos to a documented decision with a total-cost comparison. Depending on scope, a selection for a clearly defined system falls under the Starter package from €2,500, while extensive selection processes, for example for ERP or CRM, fall under the Professional package from €8,000 – the exact quote follows after the free initial consultation.

Software selection with Nano Concepts

A good software selection follows a clear process model instead of the impression left by the slickest presentation. First, we establish which processes the new software is meant to support and who will work with it. From that comes a criteria catalog with must-have, should-have and nice-to-have requirements, supplemented by knock-out criteria such as data location, interfaces or multilingual support. Only then do we look at the market: a broad longlist is narrowed down through the knock-out criteria to a shortlist of a few vendors that we compare in detail. That keeps the decision traceable – for management, business departments and IT.

01

The centerpiece is the weighted scoring analysis. In a scoring matrix for software selection, we weight each criterion by its importance to your company and rate the vendors on a uniform scale. We define the weighting together before the first vendor presents – so no demo changes the rules of the game after the fact. For the presentations, we write a demo script with real scenarios from your day-to-day work, such as a complaint with a partial delivery or an order with special prices. Every vendor plays through the same cases live, instead of only showing its favorite features.

02

Besides functions, the total cost over several years counts: licenses or subscriptions, implementation, data migration, interfaces, training and operations. We also check how open the interfaces are, whether your data can be exported again later and how updates and support are handled. Because we develop software ourselves, we can tell when a standard solution with customizations is enough and when custom development is more economical. At the end there is a documented recommendation; your legal counsel reviews the contract details. This does not replace legal advice.

What we deliver for you

Criteria catalog, weighted scoring and hands-on tests: we guide your software selection, vendor-neutral, through to the decision.

Requirements & process capture

Workshops with the future users show which processes the software has to cover and where the bottlenecks are today.

Criteria catalog

Must-have, should-have and nice-to-have criteria as well as knock-out criteria for functions, interfaces, data protection, operations and vendor.

Market research & shortlist

We research suitable solutions, check them against the knock-out criteria and reduce the longlist to a comparable shortlist.

Weighted scoring analysis & scoring matrix

Weighted evaluation of all shortlisted vendors in a transparent matrix, agreed with your decision-makers.

Demo script & hands-on test

Uniform test scenarios from your day-to-day work that every vendor plays through live, supplemented on request by a trial phase with your own data.

Total-cost comparison & decision paper

Multi-year costs, risks and recommendation in one paper for management and budget planning.

Your benefits

Why companies choose us

Comparable offers

All vendors are measured against the same criteria and scenarios – not against their presentation skills.

A traceable decision

Weighting and scoring are documented and can be justified to management, the team and auditors.

Total cost in view

The cost comparison makes implementation, interfaces and operations visible before any contracts are signed.

A technical look behind the demo

We spot weak interfaces, hurdles in data export and customization limits that rarely come up in presentations.

FAQ

Frequently asked questions about Software selection

Besides functional coverage, usability, interfaces, data protection and hosting location, customizability, data export, support and the stability of the vendor all count. On top of that come the total costs over several years, not just the license prices. Which criteria carry how much weight is something we define together with you.

Each criterion is given a weighting according to its importance, and each solution is rated per criterion on a uniform scale. Weighting times rating gives partial scores, and their sum forms a vendor's total score. We check knock-out criteria separately beforehand, so that a solution lacking a mandatory function can't win through many minor points.

The proven sequence is requirements gathering, criteria catalog with weighting, market research with a longlist, shortlist via knock-out criteria, demos following a uniform script, weighted scoring analysis and total-cost comparison. The end result is a decision, contract negotiation and a rollout plan. We adapt the scope of each phase to the size and importance of the system.

Depending on scope, a selection for a clearly defined system with a few vendors falls under the Starter package from €2,500. Extensive selection processes, for example for ERP or CRM with several departments, workshops and hands-on tests, are more likely to fall under the Professional package from €8,000. The exact quote follows after the free initial consultation.

For a manageable system, a few weeks are often enough. Selection processes for core systems such as ERP take longer, because workshops, vendor demos and hands-on tests have to be coordinated with several departments. We set the schedule together at the start.

We define criteria and weighting together with you before vendors present, and all solutions are evaluated against the same yardstick. We assess a possible custom development using the same method. If standard software is the better choice, we recommend it – regardless of who implements it afterward.
