Software for small businesses: choose, connect and extend the right tools

Small businesses rarely have an IT department, but often just as many programs as large ones: accounting, customer list, documents, vacation planning, data backup. We bring order to it – with honest advice, interfaces and custom software where it pays off.

Short & clear

The best software for small businesses is usually not a single all-in-one solution but a lean combination of proven standard software for accounting, payroll, backup and office – cleanly connected and extended by whatever makes your business special. What matters are manageable running costs, simple operation, GDPR-compliant hosting and data that doesn’t get stuck in isolated solutions. Consulting, interfaces and smaller custom developments start at Nano Concepts in the Starter package from €2,500, custom core systems in the Professional package from €8,000 – the exact quote follows after the free initial consultation.

Software for Small Businesses with Nano Concepts

A business with a handful of employees quickly ends up using a whole range of programs today: online accounting, payroll through the tax firm, a calendar, a customer list in Excel, folders on a network drive, messenger, a website and maybe an online store. Each tool is cheap on its own, but together they create duplicate data, forgotten subscriptions and processes that only one person understands. The question of the right software for small businesses is therefore less a product question than a question of how everything works together.

01

For standard tasks we recommend standard software: accounting with e-invoicing, payroll, backup, email and office are available in proven and affordable form. An ERP for small businesses, a CRM or a document management system (DMS) can also be bought off the shelf – if it fits your workflows. Our work starts where tools don’t talk to each other or don’t map your core business: we connect them via interfaces, automate routine work and develop custom software for the part that sets you apart from the competition.

02

That includes the uncomfortable part: data protection and data backup. Anyone who processes customer data needs data processing agreements with their software providers, a permissions concept and regular backups that can actually be restored. Together with our IT service partners RELEDER and FAIMA IT Services, we also take care of workstations, devices and support when needed. That way, small businesses in Speyer, the Palatinate and the Rhine-Neckar metropolitan region have one point of contact for software and IT; businesses from other regions we support remotely.

What matters with Software for Small Businesses

Manageable running costs

Licenses per user per month add up. Small businesses need a total calculation of one-time and ongoing costs before they commit.

Operation without an IT department

The software must be quick to learn and must not depend on the one person who is the only one who knows how everything works.

Data export and independence

Your data must be fully exportable at any time. Anyone who chooses a tool today should be able to switch tomorrow without re-entering everything.

Data protection and retention

Data processing agreements, hosting in Germany or the EU, roles and permissions, and GoBD-compliant storage for invoices (GoBD: the German principles for proper bookkeeping and record retention) are part of it. This does not replace legal or tax advice.

Backup with a restore test

A backup is only as good as the last successful restore test. The 3-2-1 rule – three copies, two media, one of them off-site – is a proven benchmark.

Features

These are the features we build for you

Software check and selection

We capture your tools, costs and workflows and recommend, vendor-neutrally, what should stay, be dropped or be replaced.

Interfaces between tools

Store, CRM, accounting, calendar and DMS are connected via APIs so that data only has to be entered once.

Automated routine work

Collecting receipts, handing data over to DATEV (German accounting software), distributing inquiries, sending reminders – automated, for example with n8n.

Web app for your core business

For processes that no standard software maps – costing, dispatching, customer portal – we develop a lean web app.

Replace Excel lists

Grown spreadsheets with macros become an application with permissions, change history and several simultaneous users.

IT basics with partners

Backup, device setup, HR and time tracking tools and support are handled by us together with our IT service partners when needed.

Practical examples

Here's what that looks like day to day

Documents scattered everywhere

A planning office stores contracts, plans and invoices on laptops, a network drive and in emails. After the software check, a structured filing system with permissions is introduced and connected to accounting.

Online retailer with manual work

A small retailer transfers orders from the store into accounting and the shipping tool by hand. An interface takes over automatically, and the team has time for customers again instead of copy and paste.

Special process without a standard solution

A trade show builder calculates projects with many variants in nested spreadsheets. A custom web app maps the costing and hands finished quotes over to the existing accounting software.

Four steps to your solution

  3. ImplementationWe set up interfaces and automations or develop the web app in stages and migrate your data.
  4. SupportMaintenance, updates and a dedicated contact for questions – including IT support with our partners if you like.

FAQ

Frequently asked questions about Software for Small Businesses

Almost always: accounting with e-invoicing, office and email, a data backup and structured customer management. Depending on the business, inventory management or ERP, document management, HR software for time tracking and vacation, or a store may be added. More important than the number of programs is that they work together.

If purchasing, warehouse, orders and invoices are closely intertwined, yes – a lean cloud ERP is often enough. For a pure service business, an ERP is often oversized. We help you assess it and only develop custom ERP functions when the standard doesn’t fit.

For many small businesses a simple, ready-made CRM that handles contacts, quotes and follow-ups is enough. Look for data export, GDPR compliance and a connection to email and calendar. A custom CRM pays off if your sales process is special.

Document management helps keep receipts, contracts and correspondence findable and filed in a GoBD-compliant way. Often the archive function of your accounting or cloud software, set up properly, is enough for that. A dedicated DMS becomes interesting with large document volumes or approval processes.

It depends on functions, number of users and interfaces. Interfaces, automations or small web apps start in the Starter package from €2,500, more extensive applications in the Professional package from €8,000. The exact quote – at a fixed price once the scope is clear – follows after the free initial consultation.

What matters is an automatic, encrypted backup of all important data to at least one external location, regularly tested for restoration. Data in cloud services such as Microsoft 365 should also be backed up separately. When needed, we handle setup and monitoring with our IT service partners.
