Software for tradespeople: scheduling, jobs and invoices that fit your business

We don’t sell off-the-shelf trades software. We develop what your existing software is missing, connect isolated solutions and build custom systems when standard software falls short.

Short & clear

Good software for tradespeople covers the whole path – from inquiry through measurement, quote and scheduling to the invoice – and handles industry formats such as GAEB (the German standard for tender specifications), DATANORM (the standard for wholesale product data) and e-invoicing. For many businesses an established trades software is the right foundation; custom development pays off where it falls short: scheduling boards, special processes, customer portals or interfaces. At Nano Concepts, such extensions start in the Starter package from €2,500, while extensive solutions with ERP functions fall into the Professional package from €8,000 or Enterprise – the exact quote follows after the free initial consultation.

Software for Tradespeople with Nano Concepts

In many trades businesses the software has grown over the years: one program for quotes and invoices, a planning board as a whiteboard or Excel file, a calendar for customer service, notes on the phone. Each solution works on its own, but between them people retype, phone and search. Software for tradespeople should therefore deliver above all one thing: that a piece of information is captured only once – from the customer’s call to the paid invoice.

01

Before we develop anything, we look at what already exists. For quotes, invoices, measurement, payroll and bookkeeping, established trades and ERP programs are often the more sensible choice because they already bring industry standards such as GAEB bills of quantities, DATANORM product data or ordering interfaces to wholesalers. Things get custom where your business works differently: scheduling across several trades, maintenance contracts with inspection deadlines, special cost calculations, a customer portal or the link to the technician app.

02

One topic that concerns many businesses right now is e-invoicing: in domestic B2B business in Germany, companies must already be able to receive e-invoices, and the obligation to send them phases in from 2027 and 2028 respectively. If you write invoices today as Word or PDF files, you need a solution for XRechnung or ZUGFeRD. We connect suitable formats to your software and make sure that data flows in an orderly way toward your tax firm and DATEV (the widely used German accounting software). Which deadlines apply to your business is something to clarify with your tax advisor.

What matters with Software for Tradespeople

A seamless job path

Inquiry, measurement, quote, order, appointment, work report and invoice must connect without media breaks. Every double entry costs time and creates errors.

Industry formats

GAEB for bills of quantities from tenders, DATANORM or wholesaler interfaces for products and prices, and e-invoice formats such as XRechnung and ZUGFeRD are part of everyday life in the trades.

GoBD-compliant records

Invoices and accounting documents must be archived unalterably and findable for the statutory periods (GoBD: the German principles for proper bookkeeping and record retention). The software has to support that; it does not replace tax advice.

Planning for teams and vehicles

Who works where and when, with which vehicle and which material? A planning board has to make vacations, sick leave and emergency service visible.

Operation without an IT department

Trades businesses rarely have in-house IT staff. The software has to be simple, stable and well supported – with backups and clear responsibilities.

Features

These are the features we build for you

Digital planning board

Schedule assignments by drag and drop, assign technicians and vehicles and push changes to smartphones immediately.

Inquiry and job management

Inquiries from the website, phone and email end up in one place and are tracked by status through to the job.

Maintenance and service contracts

Automatically schedule systems at customer sites, inspection deadlines and recurring maintenance, and offer appointments in good time.

Interfaces to trades software

We connect your quoting and invoicing program with planning, app and accounting – via existing interfaces or controlled data imports.

E-invoicing and DATEV handover

Create or read invoices as XRechnung or ZUGFeRD and hand documents over to the tax firm in an orderly way.

Reports for management

A dashboard with order backlog, open quotes, utilization and job cost review – so decisions are based on numbers.

Practical examples

Here's what that looks like day to day

Planning board instead of whiteboard

A carpentry business plans its crews on a whiteboard and photographs it every morning for the group. A web-based planning board connected to the existing job software shows assignments, vehicles and absences up to date for everyone.

Maintenance contracts in Excel

A plumbing and heating business manages its maintenance contracts in a spreadsheet and overlooks due dates. A maintenance module schedules appointments automatically, reminds customers and hands completed maintenance over to invoicing.

Switching to e-invoicing

A painting business has so far written invoices in a word processor and is receiving its first e-invoices from business customers. We set up receiving and switch sending to a suitable format in good time – in your existing software or a new one.

Process

Four steps to your solution

  1. On-site analysisWe look at which programs, lists and slips of paper are in use today and where time is lost between them.
  2. Check the standard, define the gapsTogether we decide what an existing trades software covers and what has to be developed or connected as custom work.
  3. Development in stagesFirst the module with the greatest benefit, such as the planning board or an interface, then further building blocks – each tested during day-to-day operation.
  4. Introduction and maintenanceData migration, training for office and technicians, and ongoing support with updates and backups.

FAQ

Frequently asked questions about Software for Tradespeople

There is no single best software – it depends on the trade, company size and workflows. Comparisons and tests help with the shortlist; what matters is whether the software maps your job path without detours. We support you vendor-neutrally in selecting software and fill in what is missing.

There are free entry-level versions and simple invoicing programs that can be enough for very small businesses. Make sure they support e-invoicing, GoBD-compliant archiving and data export. Custom software is not free – it pays off from the point where the standard costs you time.

It depends on the scope: an interface or planning board is much smaller than a custom ERP. Extensions and smaller modules start in the Starter package from €2,500, larger solutions fall into the Professional package from €8,000 or the Enterprise package. After the free initial consultation you’ll receive a transparent quote, preferably at a fixed price.

Small businesses usually get by with trades software for quotes, jobs and invoices. ERP functions such as warehouse, purchasing, job cost review and staff planning become interesting when several teams, trades or locations work together. We help you assess the need realistically.

Yes. A digital planning board assigns jobs to employees, vehicles and time slots, takes vacation and sick leave into account and sends changes directly to the technicians. If your existing software can’t do this well, we develop the scheduling as a separate module with a connection.

You need software that generates invoices in a structured format such as XRechnung or ZUGFeRD and can read e-invoices you receive. Many trades programs can already do this via an update; otherwise we connect a suitable module. Which deadlines apply to your business is something to clarify with your tax advisor.
