E-Invoicing Integration: XRechnung and ZUGFeRD in Your Systems

We connect e-invoicing to your existing systems – so your ERP, shop or custom software generates XRechnung and ZUGFeRD, and incoming e-invoices are processed automatically. You clarify the tax requirements with your tax advisor; we implement them technically.

Short & clear

An e-invoicing integration makes sure your systems generate, receive, validate and pass on structured electronic invoices under the European standard EN 16931 – for example as XRechnung or ZUGFeRD – to accounting or DATEV. In Germany, businesses have had to be able to receive e-invoices in domestic B2B transactions since January 1, 2025; transitional rules apply to sending until the end of 2026 or 2027, respectively. Nano Concepts develops the connection to your existing software under the packages Starter from €2,500, Professional from €8,000 or Enterprise; this overview does not replace tax advice.

E-invoicing integration with Nano Concepts

An e-invoicing integration connects e-invoicing with the systems you already have: your ERP or shop generates invoices in the structured format, and incoming e-invoices are read and validated automatically and passed on to approval and accounting. The trigger is the changeover in domestic B2B transactions: since January 1, 2025, businesses in Germany have had to be able to receive e-invoices. Transitional rules for sending apply until the end of 2026, and until the end of 2027 for businesses with prior-year revenue of up to €800,000. From 2028 at the latest, e-invoicing is generally mandatory in domestic B2B transactions.

01

A PDF file sent by email is not an e-invoice in the legal sense. What counts are structured formats under the European standard EN 16931, above all XRechnung as a pure XML file and ZUGFeRD from version 2.0.1 as a PDF with embedded XML data – excluding the MINIMUM and BASIC WL profiles. Many standard programs now support this. A custom integration is needed if your invoices come from a grown ERP, an industry-specific solution or an in-house development, or if incoming e-invoices are to flow automatically into your processes.

02

We build generation directly into your software, validate every invoice against the official validation rules before sending, and pass invoice data including the XML on to your accounting – if desired also to DATEV via the official DATEV routes, coordinated with your tax firm. For receiving, we set up an inbound channel, read out the XML data and make it readable in a viewer. Please clarify with your tax advisor which deadlines and exceptions apply to your company – this page does not replace tax advice.

Scope of services

What we deliver for you

E-invoicing integration for ERP, shop and in-house software – generate, receive and pass on XRechnung and ZUGFeRD.

Generate e-invoices

Your ERP, shop or in-house software creates invoices as XRechnung or ZUGFeRD – from the data that is already in the system.

Validation before sending

Every invoice is automatically tested against the standard and validation rules, for example with the KoSIT validator, before it leaves your company.

Receiving & parsing

Incoming e-invoices from your mailbox or portal are detected, parsed and displayed in an easily readable view.

Approval workflow

Incoming invoices move through your company with assignment to purchase order, cost center and approval steps – instead of being forwarded around email inboxes.

Handover to accounting & DATEV

Invoice data and the original file go to your accounting software or, via the official DATEV routes, to your tax firm.

Archiving in the original format

E-invoices are stored in their original format so that the XML file is preserved unchanged for retention.

Your benefits

Why companies choose us

Stay on top of the changeover

Your systems are technically ready for receiving and sending before the transitional deadlines expire.

No system change needed

E-invoicing comes into your existing software instead of you entering invoices twice in an additional portal.

Faster invoice verification

Structured data can be matched against purchase orders automatically. Retyping and searching through PDFs are no longer needed.

Catch errors before sending

Automatic validation catches missing mandatory details before a customer rejects the invoice.

FAQ

Frequently asked questions about E-invoicing integration

For many small businesses, the solution their accounting program already includes is enough. A custom e-invoicing integration is worthwhile when invoices come from an ERP, shop or in-house development or when incoming invoices are to be processed automatically. Individual connections are possible in the Starter package from €2,500, sending and receiving with an approval workflow more likely in the Professional package from €8,000 – the exact quote follows after the free initial consultation.

As things currently stand, e-invoices in Germany are not transmitted to the tax office but exchanged directly between invoice issuer and recipient. An electronic reporting system is being prepared at EU level but has not yet been introduced in Germany. We plan your integration so that later extensions remain possible; your tax advisor can clarify the current status.

The e-invoice is handed over to accounting together with its XML file, so invoice data doesn't have to be re-entered. For the handover to DATEV, we use the official DATEV formats and interfaces and align the exact route with your tax firm – for example, whether it works with DATEV Unternehmen online.

Businesses have had to be able to receive e-invoices in domestic B2B transactions since January 1, 2025. For sending, paper invoices and – with the recipient's consent – other electronic formats such as PDF remain permitted until the end of 2026, and until the end of 2027 for businesses with prior-year revenue of up to €800,000; from 2028, the obligation generally applies to everyone. Exceptions exist, for example for small-amount invoices up to €250, and this overview does not replace tax advice.

No. An e-invoice is a structured data set under EN 16931, such as an XRechnung or a ZUGFeRD invoice from version 2.0.1, whose data can be evaluated by machine. A plain PDF file counts as an other invoice (sonstige Rechnung) and is only permitted within the transitional rules.

Generating e-invoices from a single system is often done within a few weeks if the invoice data is complete there. The receiving process with approvals and the tests with business partners usually take more time. After the initial assessment, you will receive a realistic schedule.
