How much does an IT rollout cost – and what determines the price?

Whether it is new workstations in twenty branches, the move to Windows 11 or a new checkout and network system: an IT rollout is a project, not a single task. This guide explains what determines the price and which details you need for a reliable quote.

Short & clear

What an IT rollout costs cannot be stated as a flat figure: the price depends on the number of devices and locations, the extent of preparation and configuration, the desired time windows, the effort per workstation and the project management. Hardware and licenses are usually added separately. For IT rollouts, Nano Concepts and the IT service partners RELEDER and FAIMA IT Services therefore prepare an individual quote based on scope, locations and time windows – no off-the-shelf flat package.

IT rollout: what it includes and what that means for the cost

An IT rollout is the coordinated introduction of hardware or software at many workstations or locations. Typical occasions are new laptops, the move to Windows 11 – regular support for Windows 10 ended on October 14, 2025 – a new network, checkout systems, smartphones or printers. At its core, every device should arrive at the user after the visit fully configured, tested and documented.

Accordingly, a rollout consists of several phases: planning and inventory, preparation and configuration, delivery and installation, user briefing, acceptance and documentation. Each phase causes effort that is weighted differently from project to project. A quote should show these phases clearly so that you can understand what you are paying for. The more clearly the phases are defined in advance, the lower the risk of delays.

Preparation and staging: why the effort arises before the visit

A large part of the work happens before a technician comes to you. Devices are prepared centrally: installing the operating system, installing software, setting up policies and user profiles, applying security settings and testing everything. This is called staging. The advantage: on site, all that remains is unpacking, connecting and handing over, which shortens the disruption to day-to-day business.

The effort for preparation depends on how uniform your workstations are. If there are one or two standard profiles, much can be automated and transferred to many devices. If departments have different programs, printers and permissions, the configuration effort rises. A clear specification of what a finished workstation should look like therefore saves time and money.

Locations, time windows and travel

The more locations, the more coordination: delivery, access, contacts and travel have to be planned for each site. We carry out IT rollouts across Germany together with our partner teams, who perform the on-site work. Travel times and routes are factored into the planning; with bundled assignments in one region, the effort can usually be organized better than with scattered individual sites.

Time windows also influence the price. If operations must not stop – in a medical practice, retail or production – work takes place in the evening, at night or at the weekend. This requires planning and possibly higher deployment costs. The more flexible you are with dates, the easier it is to find an economical sequence. Tell us your time windows already in the inquiry.

Hardware, licenses and old devices

The costs for devices and licenses are usually a separate item beside the service. Whether you procure hardware yourself or through the service provider belongs in early planning, because delivery times can determine the entire schedule. The question of whether existing devices meet the requirements of the new software also decides whether new purchases are necessary.

Then there is the handling of old devices and data. User data and settings are to be transferred to the new devices, and the old devices are collected. Before they are passed on or disposed of, the data should be erased in line with data protection requirements. Anyone who settles this in advance avoids queries and extra effort during the deployment itself. Here too: what is decided before the deployment costs less time on site.

  • Devices and accessories: procurement, delivery, storage until deployment
  • Licenses and subscriptions for the software to be deployed
  • Data transfer from old to new devices
  • Collecting and erasing old devices in line with data protection
  • Peripherals such as monitors, docking stations and printers

Project management, documentation and aftercare

Larger rollouts need project management that coordinates dates, steers teams, reports progress and reacts to deviations. This share hardly matters with a few devices but grows with the number of locations. For each assignment it should be clear who is available on site and what counts as acceptance. An acceptance report per location gives both sides certainty.

After the deployment there is usually follow-up work: stragglers, devices with problems, user questions. Factor this in and record who takes care of it. Documentation of the installed devices, configurations and credentials makes later support easier, which we can also take over on request from 1st to 3rd level together with our partners.

How your quote for the IT rollout comes about

Our software packages do not apply to IT rollouts; instead you receive an individual quote based on scope, locations and time windows. In the free initial consultation we record the key data together with our partners: number of devices, locations, desired configuration, time windows and special features. From this, a quote is created in which preparation, on-site work, project management and follow-up are transparently separated.

The more precise your details, the more reliable the quote. A simple table with location, number of workstations and device type is enough to begin with. We usually reply to inquiries within 24 hours. You can arrange the free initial consultation by phone or email. This lets us assess effort and timeframe realistically right from the first step.

What matters

These factors determine the cost

Number of devices and workstations

More devices mean more preparation, installation and acceptance; economies of scale arise mainly with uniform workstations.

Number of locations

Every location requires coordination, travel, a contact person and its own acceptance report.

Time windows

Work outside business hours or at weekends causes higher planning and deployment costs.

Preparation and configuration

The more uniform the target state, the more can be automated centrally instead of set up individually on site.

Complexity of the environment

Network, domain integration, industry software and special peripherals increase the testing and setup effort.

Hardware and licenses

Procurement and delivery times are usually a separate item and also determine the schedule.

Data transfer and old devices

Transferring user data, collecting and erasing old devices in line with data protection take extra time.

Project management and documentation

Coordination, status reports and acceptance reports gain weight as the project grows.

Checklist

Your take-away checklist

  • Create a list of all locations with the number and type of workstations
  • Describe the target state: operating system, software, settings
  • Record desired time windows and blackout periods per location
  • Name a contact person and the access arrangements for each location
  • Clarify who procures hardware and licenses
  • Decide on data transfer and the handling of old devices
  • Select a pilot group for the first test
  • Agree on acceptance criteria and aftercare

FAQ

Frequently asked questions

There is no serious figure per workstation, because preparation, locations, time windows and the particularities of the environment determine the effort. For IT rollouts we prepare an individual quote based on scope, locations and time windows. A list of locations and the number of devices is enough to begin with.

That depends on how many devices are migrated, whether the existing hardware meets the system requirements and how much preparation, data transfer and user briefing is needed. New devices and licenses are added separately. You receive an individual quote after the free initial consultation.

Devices and licenses are generally considered separately from the service. Whether you procure them yourself or whether procurement should run through us and our partners, we clarify in the initial consultation. It also affects the schedule because of delivery times.

As early as possible, because delivery times, preparation and the coordination of time windows need lead time. The more locations are involved, the more time you should allow. We give you a realistic schedule after the inventory.

Yes. Together with our IT service partners RELEDER and FAIMA IT Services, we carry out IT rollouts across Germany – with our partner teams on site and project management from Dudenhofen.

Yes, evening or weekend work is possible by arrangement if operations must not be interrupted. This affects deployment planning and therefore the price. Tell us your time windows already in the inquiry.
