What is Software as a Service (SaaS)?

In brief

Software as a Service (SaaS) is a delivery model in which software is not purchased and installed but used over the internet in a browser and usually paid for by subscription. The provider takes care of operation, updates, and data backup.

SaaS: definition and scope

With SaaS, companies rent a ready-made application instead of running it on their own servers. Well-known examples include Microsoft 365, online accounting programs, CRM systems, and appointment booking tools. Access is via browser or app, from anywhere.

SaaS is one of the three classic cloud service models. The others are Infrastructure as a Service (IaaS), which provides only servers and storage, and Platform as a Service (PaaS), which provides a platform for developing and running your own software.

How SaaS works

A SaaS application runs centrally in a data center. Many customers use the same software, but their data is kept separate—this is known as multi-tenancy. The provider rolls out new features and security updates for everyone at once, without customers having to install anything.

To customers, the application feels like their own software: they only see their own data, users, and settings. Logo, colors, or workflows can often be customized within certain limits.

  • Usually billed monthly or annually per user or plan
  • No installation of your own and no server maintenance
  • Access via browser or app, from any location
  • Connection to other systems via APIs

Benefits and limitations of SaaS

SaaS lowers the barrier to entry: instead of high upfront investments, there are predictable ongoing costs, and the software is often ready to use within a short time. Scaling usually just means adding more licenses.

There are limits when it comes to customization and control. You are tied to the provider's feature set, pricing, and product development. When personal data is involved, the server location and a data processing agreement under the GDPR are important; this note does not replace legal advice.

  • Predictable costs instead of a large one-time investment
  • Fast start, automatic updates
  • Access from anywhere, including for distributed teams
  • Dependence on the provider (lock-in)
  • Check data protection and data export in advance

Real-world example: developing your own SaaS product

SaaS isn't only interesting for users. A company that has developed a proven tool internally—for scheduling field staff or calculating quotes, for example—can turn it into a product for other businesses. This requires multi-tenancy, user management, subscription billing, and stable cloud operations. On top of that come topics such as onboarding new customers, support, and updates during live operation.

Nano Concepts has developed its own platforms, such as the SmartBook booking tool, and also builds SaaS solutions for clients—from the architecture and the subscription model to ongoing operation.

Frequently asked questions about Software as a Service (SaaS)

Purchased software is licensed, installed, and operated by you. With SaaS, you rent the use of the software; operation, maintenance, and updates are the provider's responsibility.

Reputable providers invest heavily in security and backups. Even so, check the server location, certifications, encryption, and whether you can export all of your data.

When standard solutions can only map your processes with many workarounds, when several tools have to be linked with considerable effort, or when the software itself is meant to be a competitive advantage. A combination is also possible: standard SaaS for general tasks, custom software for the core process.
