AI Knowledge Base: Ask Company Knowledge Instead of Searching – With Sources

With an AI knowledge base, your employees ask questions in plain language and get answers drawn from manuals, policies, contracts and tickets – each with a reference to the original document. Every person sees only what their permissions allow, and processing takes place with providers that offer EU hosting and, by contract, do not use your content for training.

Short & clear

An AI knowledge base is an internal AI assistant that answers employee questions using retrieval-augmented generation (RAG): it finds the relevant passages in approved company documents and drafts an answer from them, with source citations. For this, Nano Concepts connects sources such as SharePoint, Confluence or network drives, carries over the permissions for each department and uses language models with processing in the EU. A solution for one department typically falls under the Professional package from €8,000; company-wide knowledge platforms with many sources are priced individually as an Enterprise project – the specific quote follows after the free initial consultation.

AI knowledge base with Nano Concepts

An AI knowledge base answers the questions that are asked in your company every day: How does approval of a business trip work? What warranty applies to this product? What did we promise the customer in the last project? Instead of combing through folders, wikis and mailboxes or interrupting experienced colleagues, employees ask their question in plain language. The internal AI assistant finds the relevant passages in your approved documents and drafts an answer from them – with a reference to the document and section, so every statement can be verified with one click.

01

Technically, the solution works with retrieval-augmented generation, or RAG for short. We read in your sources – such as SharePoint, Confluence, network drives, your ticketing system or product database – break them into meaningful sections and store them in a vector database such as pgvector or Qdrant. For each question, the language model receives only the relevant sections. The permissions model is what matters most: the permissions from your source systems are carried over, so the HR department gets different answers than Sales and confidential contracts stay confidential. New or changed documents are synchronized regularly, and outdated versions drop out.

02

When it comes to company data, trust matters. We use models with processing in the EU or self-hosted open-source models, and we choose providers that, by contract, do not use your content for training. Even the best AI is not error-free – which is why the assistant cites its sources, says openly when it finds nothing suitable, and improves in a targeted way through user feedback. We prepare the technical side of the obligations arising from GDPR and the EU AI Act, such as AI literacy among employees; this does not replace legal advice, but it gives your data protection a solid foundation.

Typical signs that AI knowledge base is worth it

  • The same questions land with the same experienced colleagues every week – and keep them from their actual work.
  • Your knowledge is spread across SharePoint, a wiki, network drives and mailboxes, and nobody knows for sure which version applies.
  • New employees take a long time to find regulations, templates and procedures on their own – and keep asking questions until they do.
  • Sensitive documents end up in private AI chats because your team wants quick answers and has no approved solution.
  • A colleague with a wealth of experience will leave soon, and their solutions so far live only in tickets and emails.
Scope of services

What we deliver for you

Internal AI assistant that searches manuals, policies and tickets and answers with source citations – according to your access rights.

Source & Knowledge Inventory

We clarify which documents, systems and data sets the AI may use, which are off-limits and who will be responsible for maintenance going forward.

Connectors to Your Systems

Integration with SharePoint, OneDrive, Confluence, network drives, ticketing system or databases – with automatic synchronization of new and changed content.

RAG Pipeline & Vector Search

Processing and indexing of your documents, including PDFs and tables, combining semantic search and keyword search to surface the right passages.

Permissions Model by Department

Permissions from your source systems or groups in Microsoft Entra ID control which content may be used in an answer.

Assistant with Source Citations

An interface in the browser, on the intranet or in Microsoft Teams that delivers answers with a link to the source and allows follow-up questions.

Quality Measurement & Operations

Test questions with reference answers, user feedback, cost control and logs show how reliably the assistant answers and where knowledge is missing.

Your benefits

Why companies choose us

Answers Instead of a Search Marathon

Rules, product details and past solutions are found in one step instead of opening folders, drives and mailboxes one by one.

Faster Onboarding

New colleagues ask the assistant first and bring in experienced employees only when it is truly necessary.

Knowledge Stays in the Company

Solutions from closed tickets and projects remain usable, even when the people who handled them have long since moved on to other tasks or left the company.

Verifiable and Secured

Source citations, access rights and processing in the EU create a foundation that your team and your data protection officers can trust.

Use cases

AI knowledge base in your industry

Here's what AI knowledge base looks like in typical industries – concrete examples from everyday business.

Industry & Manufacturing

Service technicians ask about error codes, maintenance intervals and settings and get the relevant passage from the machine manual and earlier service reports.

Retail & E-Commerce

A wholesaler's sales team looks up product data, delivery terms and return rules instead of searching through data sheets and internal circulars.

Learn more

Logistics

Dispatchers find customer requirements for delivery, time windows and packaging by asking a question, even when they are buried in contracts or email attachments.

Learn more

Healthcare & Care

Nursing staff and administration at a care facility retrieve internal procedures and hygiene plans by asking a question. The assistant expressly does not make therapy or treatment decisions.

Learn more

Real Estate

A property management company queries condominium declarations, owners' resolutions and house rules and answers owner inquiries faster and with a source reference.

Learn more

Finance & Insurance

Case handlers at an insurance agency find policy conditions and work instructions by asking a question, while permissions cleanly separate departments and client mandates.

Learn more

Services & Consulting

A tax advisory firm makes template letters, checklists and technical notes searchable, while client files remain accessible only to the responsible team.

Learn more

Skilled Trades

Fitters at a skilled-trades business retrieve installation instructions and manufacturer specifications on the road that would otherwise sit in a binder at the office.

Learn more

Startups

A growing startup consolidates wiki pages, product documentation and resolved support cases so that new employees can largely onboard themselves.

Learn more

Education & Research

A continuing-education provider makes examination regulations, course materials and administrative procedures accessible to instructors and administrative staff by asking a question.

Learn more

Tourism & Hospitality

Front desk and reservations at a hotel look up house rules, packages and partner offers instead of searching through folders and old emails.

FAQ

Frequently asked questions about AI knowledge base

A knowledge base for one department with well-maintained sources typically falls under the Professional package from €8,000. Many source systems, fine-grained permissions and company-wide use are priced individually as an Enterprise project; a feasibility test with a clearly defined set of documents can start in the Starter package from €2,500. Hosting and AI usage cause ongoing costs, which we itemize separately; you will receive your exact quote after the free initial consultation.

The language model is not retrained on your data. Instead, for every question the system pulls the matching sections from your documents and hands them to the model as the basis for its answer – a method called retrieval-augmented generation (RAG). This keeps answers up to date when documents change, and every statement can be traced back to a source.

A prototype with a subset of your documents is often ready after just a few weeks. The path to productive use depends mainly on the number and condition of the sources, the permissions model and the pilot phase. We agree on the specific schedule with you after reviewing your sources.

No. The assistant carries over the permissions from your source systems or from groups, for example in Microsoft Entra ID, and uses only content for an answer that the person asking could open themselves. Before launch, we specifically test the permissions model with accounts from different departments.

Yes, language models can be wrong, even when they access your documents. That is why the assistant gives the source for every answer, relies only on approved content and says openly when it finds nothing suitable. With test questions and user feedback, we measure quality continuously and improve processing and sources wherever answers miss the mark.

We plan it so that data-protection-compliant use is possible: processing in the EU or on your own servers, providers that by contract do not use your data for training, data processing agreements, logs and deletion concepts. We also help prepare, from a technical perspective, requirements arising from the EU AI Act, such as AI literacy among users. This does not replace legal advice – the final assessment rests with your data protection or legal counsel.
